Clinic Ops Associate

About the Role
We are looking for a Clinic Operations Associate to provide operational and administrative support to our clinical teams. This role is responsible for helping coordinate client assignments, referrals, transfers, scheduling-related activities, and other processes that support the day-to-day operations of our clinics.
The ideal candidate is organized, detail-oriented, comfortable working with multiple priorities, and able to communicate effectively with different teams while handling confidential information responsibly.
Key Responsibilities
Support client assignments, transfers, referrals, and other clinic-related administrative processes.
Maintain accurate client, staff, and operational information across internal systems and tracking tools.
Follow up on pending requests and coordinate information between clinical, administrative, and leadership teams.
Support referral and client follow-up activities, including communication and documentation.
Assist with caseload transitions, staff changes, and other operational updates.
Support attendance-related and discharge administrative workflows.
Identify discrepancies or missing information and follow up with the appropriate teams.
Maintain organized documentation and ensure information is updated in a timely manner.
Provide administrative support for operational reports, audits, and process improvement activities.
Participate in team meetings and support the implementation of operational processes and updates.
What We're Looking For
Previous experience in healthcare, behavioral health, clinic operations, scheduling, intake, referrals, care coordination, or a related field.
Strong organizational and time-management skills.
High attention to detail and commitment to accurate documentation.
Ability to manage multiple tasks and priorities in a fast-paced environment.
Strong written and verbal communication skills.
Comfortable working with spreadsheets, databases, and electronic systems.
Ability to work independently while collaborating effectively with different teams.
Professional handling of confidential and sensitive information.
Ability to identify issues, follow established processes, and seek support when needed.
